VC-SOP-0102 — Watch Handover & Greenhouse Grid State Read-Back

The formal shift-change protocol between greenhouse watch teams: a structured, item-by-item verbal read-back of grid zone states, open alarms, in-progress procedures, and specimen watch items so that nothing is dropped across the four watches of an operating cycle.

SOP ID: VC-SOP-0102 Rev: C Effective: 2090-07-19 Next Review: 2092-07-19 Owner: Watch Commander (OPS-WC) Approver: Dr. P. L. Isley, CBO Class: Cultivation · Operations
No watch ends until the relief acknowledges. The off-going Watch Commander retains full accountability for the greenhouse grid until every checklist item in Section 6 has been read out, confirmed-back verbatim by the on-coming Commander, and the handover is signed in the Mycelial Data Fabric (MDF). A silent or assumed handover is a reportable deviation. If the relief is absent at the boundary, the off-going watch holds over — the grid is never left unwatched.

1. Purpose

To define the controlled procedure by which custody of the Sector-7 greenhouse grid is transferred between consecutive watch teams. The objective is zero loss of operational awareness across the boundary: every alarm, every paused or running procedure, every specimen on a watch list, and every degraded subsystem is positively transferred — read out by the off-going Commander and confirmed back, in the speaker's own words, by the on-coming Commander.

2. Scope

Applies to all four watches of the operating cycle (Dawn 06:00–12:00, Day 12:00–18:00, Dusk 18:00–00:00, Vigil 00:00–06:00) across greenhouse grid zones G-01 through G-24, the Phyto-Synthesis Bay annex, and the climate plant under VC-SOP-0212. Covers the Watch Commander, the lead Cultivar on duty, and the Drone Operations console per VC-SOP-0301. Specimen-level cultivation actions are governed by VC-SOP-0101; this SOP governs only the transfer of state, not the underlying work. Emergency handover during an active breach is superseded by VC-SOP-0911.

3. Definitions

TermDefinition
WatchOne of four six-hour custody periods over the greenhouse grid within an operating cycle.
Read-BackThe on-coming Commander repeating an item in their own words to demonstrate understanding; not a passive "copy."
Grid State ReadThe zone-by-zone summary of climate, hydro-loop, canopy, and containment status pulled live from the PhytoSense Mesh.
Watch ItemA specimen, zone, or subsystem flagged for heightened attention during the watch (e.g. a recovering GCL-3 cultivar).
Hold-OverOff-going watch remaining on station past the boundary when no qualified relief is present.
Handover LogThe signed MDF record of the transfer, time-stamped and witnessed by CHLORA.

4. Responsibilities

RoleResponsibility
Watch Commander — Off-Going (Owner)Prepares the handover brief; reads every Section 6 item; retains accountability until acknowledgement; owns this SOP.
Watch Commander — On-ComingPerforms verbatim read-back; challenges any ambiguous item; accepts custody by signature.
Lead Cultivar on DutyConfirms in-progress cultivation steps and dosing windows; flags specimen watch items.
Drone Console OperatorReports swarm status, charging state, and any tasking that crosses the watch boundary.
CHLORAPre-stages the live grid state read, witnesses the handover, time-stamps and locks the Handover Log, raises a deviation if no acknowledgement is recorded by the boundary +10 min.

6. Handover Read-Back Checklist

Every item below is read out by the off-going Commander and confirmed back by the on-coming Commander before custody transfers. The confirm-back rule states what an acceptable read-back must contain — a bare "copy" is not acceptable for any starred item.

ItemSourceConfirm-Back Rule
Grid zone states (G-01…G-24)PhytoSense Mesh live readRead back the count of nominal zones and name every zone not nominal with its state.
Open alarmsMDF alarm queueRead back each unresolved alarm by ID, zone, severity, and current action — verbatim, no rounding.
In-progress proceduresCultivar / consoleRead back the SOP ID, step number reached, and the time the next step is due.
Specimen watch itemsWatch-list boardRead back each specimen ID, its GCL grade, and the next monitoring time.
Climate plant statusVC-SOP-0212Read back any setpoint deviation and whether the plant is in auto or manual.
Hydro-loop / dosingLoop consoleRead back any loop on manual, any dosing window open, and any overpressure flag per VC-SOP-0231.
Drone swarm taskingDrone consoleRead back active tasks, drones offline, and aggregate charge state.
Degraded sensors / mesh gapsMesh diagnosticsRead back each blind zone and its compensating manual-check interval.
Standing instructions from CBODirectorate logRead back each standing order verbatim; unread orders block acceptance.
Starred-equivalent rule. Open alarms, in-progress procedures, GCL-3+ watch items, and standing CBO instructions are critical-transfer items: if the on-coming Commander cannot read any of these back accurately, the item is re-briefed until correct before the handover may proceed.

7. Procedure

7.1 Pre-Handover Preparation (boundary −20 min)

  1. CHLORA assembles the state pack: grid read, alarm queue, in-progress procedure list, watch items, and degraded-subsystem list.
  2. Off-going Commander reviews the pack against their own watch notes and resolves any discrepancy before the relief arrives.
  3. Off-going Commander clears or annotates every stale alarm acknowledgement so the relief inherits a clean queue.

7.2 Face-to-Face Read-Out

  1. Both Commanders take position at the watch console with the live Mesh view and the open Handover Log.
  2. Off-going Commander reads each Section 6 item in order, top to bottom, without skipping nominal zones.
  3. On-coming Commander performs the confirm-back per the rule for that item; off-going Commander corrects any error before advancing.

7.3 Challenge & Resolve

  1. On-coming Commander challenges any item that is ambiguous, internally inconsistent, or conflicts with the live Mesh read.
  2. Unresolved challenges on a critical-transfer item block acceptance; escalate to the Cultivation duty manager or, for containment, the Containment Officer.
  3. Lead Cultivar and Drone Operator confirm their respective in-progress items directly to the on-coming Commander.

7.4 Acceptance & Custody Transfer

  1. When every item is confirmed back, the on-coming Commander states "I have the grid" and signs the Handover Log in the MDF.
  2. Off-going Commander counter-signs; CHLORA time-stamps and locks the record.
  3. Accountability transfers at the moment of the locked record — not at the clock boundary.

7.5 Hold-Over Contingency

  1. If no qualified relief is present at the boundary, the off-going watch holds over and CHLORA raises a staffing deviation to the duty manager.
  2. Hold-over beyond 90 minutes requires Watch Commander relief from the on-call roster; fatigue limits per VC-HR-0044 apply.
  3. The grid is never left without an accountable Commander, regardless of staffing state.
